Overview – the key information you should be aware of
(A) Who we are:
We are Entertainment Partners UK Limited, a limited company registered in England & Wales under company number 08667465 and with a registered office in the UK (“EP”, “we”, “us” or “our”). EP is the data controller in respect of the personal information which you provide us. This Privacy and Cookie Policy (“Policy”), together with our Terms of Service and any other documents referred on it, governs the basis of our collection, storage and use of personal data collected by EP in the UK.
(B) Our values and what this policy is for:
We value your privacy and want to be accountable and fair to you as well as transparent with you in the way that we collect and use your personal information. We also want you to know your rights in relation to your information which you can find here.
In line with these values, this Privacy Policy tells you what to expect when we collect and use personal information about you. We have tried to make it easy for you to navigate so you can find the information that is most relevant to you and our relationship with you. We are always looking to improve the information we provide to our users and contacts so if you have any feedback on this Privacy Policy, please let us know using our contact details in section 13.

“Agency Artist” means a supporting artist who has signed up to join the community of one or more Agency or casting company using the Platform, via an Agency Profile, accessible by the Agency, Hirer and Production User, to be put forward for job opportunities primarily in the film, TV and advertising industries.
“Artist” is Entertainment Partners Artist, Agency Artist and Production Artist collectively.
“Agency Artist Community” is a collection of Agency or casting company Artist profiles in the relevant Agency or casting company site which are available to the relevant Agency, Hirer and Production User.
“Agent” means a casting agent, operating as an employment agent, who has a contractual agreement with EP to use the Platform to find suitable Entertainment Partners Artists, connecting them with the Hirer, putting them forward for job opportunities primarily in the film, TV and advertising industries. The term Agent includes a casting agent’s employees.
“Agency” means a casting agency, operating as an employment agency, or extras casting company who has a contractual agreement with EP to use the platform to find suitable Entertainment Partners Artists and Agency Artists, connecting them with the Hirer, putting them forward for job opportunities primarily in the film, TV and advertising industries. The term Agency includes a casting agency’s employees.
“Crew” are Production Crew and Entertainment Partners Crew collectively.
“Crew Community” is a collection of Entertainment Partners Crew profiles on the Platform.
“Entertainment Partners Artist” means a supporting artist, who has signed up to join the Entertainment Partners Artist Community with a Profile accessible to Agents, Agencies, Hirers and Production Users to be put forward for job opportunities primarily in the film, TV and advertising industries.
“Entertainment Partners Artist Community” is a collection of Entertainment Partners Artist profiles on the Platform which are available to the Agent, Agency, Hirer and Production User.
“Entertainment Partners Crew” means an individual who has worked on a Project as a crew member and / or is interested in working on Projects, who has a Profile in the Crew Community which contains their work history and access to other site records.
“Hirer” means the end user of the Artist or Crew services, which is usually a production company looking to book Artists or Crew for a project.
“Identifier Information” is the basic level of information EP captures and includes the email address of all users (including all Artists and Crew) of the platform and the unique identity EP provide to identify any user as a unique user in the platform.
“Platform” is EP’s enterprise production management platform for production and casting.
“Production Artist” means a supporting artist who has signed up and created a profile in a production company’s community to work directly on the project the production company are producing.
“Production Artist Community” is a collection of Production Artist profiles in a production site which are available to the Production Company, who is also the Hirer.
”Production Company” means the production company, relevant company or Hirer who has a contractual agreement with EP to use the Platform.
“Production Crew” means an individual engaged in a production role on a Project using the Platform.
“Production Crew Community” is a collection of Production Crew profiles on the Production Company’s site, which has been set up for a Project and are available to the Production Company for that Project.
“Production User” means a representative of the Production Company.
“Profile” means the information collected for all Crew and Artists. This will include the Identifier Information and any other information that a user uploads to the Platform (or in the case of a Production Crew/Agency Artist/Production Artist, information that the Production Company or Agency may upload to the Platform). A user may have more than one Profile.
“Project” means an individual production i.e. film, TV, advertisement, music video etc.
(D) Who this policy applies to:
This Privacy Policy applies to the collection, storage and use of personal information about you where “you” are:

Users of our platform including:

Prospective Agents, Production Companies and Artists (to whom we send marketing communications)
Specifically, this Privacy Policy provides you with details about the personal information we collect and hold about you, how we use your personal information and your rights regarding your personal information. It does not cover any use of your personal information by an Agent, Agency, Hirer or Production Company whether or not they have accessed your information via our platform. That use will be governed by the relevant Agent’s, Agency’s, Hirer’s or Production Company’s Privacy Policy.
Please note that where a Hirer, Production Company and/or an Agency uploads your details into their private Project or company site portal, to store, access and manage your data, EP will, unless notified otherwise, act as data processor for the relevant Hirer, Production Company and/or Agency in relation to your information. That use will be governed by the relevant Hirer’s, Production Company’s or Agency’s Privacy Policy.
Please note that where your personal information appears on our Site as a result of your details having been uploaded by the Hirer, Production Company, Agent and/or Agency into the part of the Platform which allows Hirers, Production Companies, Agent and/or Agency to store and access data in relation to Artists/Crew, the relevant Hirer/Production Company/Agent/Agency already knows, EP will, unless notified otherwise, act as data processor for the relevant Hirer, Production Company and/or Agent/Agency in relation to your information. That use will be governed by the relevant Hirer, Production Company or Agent/Agency’s Privacy Policy.

1. What we do
We provide a platform that enables the optimal workflow between Production Companies and Crew Hirer, Agents and Artists.
EP acts as data controller in relation to the personal data it collects and processes when an Artist directly joins the Entertainment Partners Artist Community. Artists upload their information to the Platform to become part of a talent pool made available to Agents, Agencies, Hirers and Production Companies via the platform.
EP acts as data controller in relation to the personal data it collects and processes when a Crew member joins the Crew Community. Crew members may upload their information to the Platform to create a personal Profile and may use this Profile to access work history and site records.
Where an Agency Artist has directly joined an Agency to be part of their Agency Artist Community, EP acts as a data processor in relation to the personal data the Agency collects and processes. The Agency acts as a data controller in relation to the personal data it collects and processes. That use will be governed by the relevant Agency’s Privacy Policy.
Where a Production Artist has directly joined to be part of a Production Artist Community, EP acts as a data processor in relation to the personal data the Hirer or Production Company collects and processes. The Hirer or Production Company acts as a data controller in relation to the Production Artist’s personal data it collects and processes via the Entertainment Partners Casting Portal. That use will be governed by the relevant Hirer or Production Company’s Privacy Policy.
Where a Production Crew member has joined to be part of a Production Crew Community, EP acts as a data processor in relation to the personal data the Production Company collects and processes. The Production Company acts as a data controller in relation to the Production Crew personal data it collects and processes via the Entertainment Partners Production Portal. That use will be governed by the relevant Production Company’s Privacy Policy.
For all users of EP, including those who are Production Artists, Agency Artists or Production Crew, when your information is collected or at any time during which your details are stored on the Platform, EP shall identify you as a unique user in the platform using the Identifier Information. Where you opt to, EP can use the Identifier Information to link all your relevant Profiles allowing you to link all of your activity across the platform on different productions and in different roles, to ensure a singular and positive experience for you of the platform. This is further detailed here. In those cases, and for the limited purpose of allowing you to link your various Profiles, EP will be a data controller of your personal data in your Profiles (including the Identifier Information).
2. How we obtain your personal information
Where “you” are an Entertainment Partners Casting Artist

2.1 We will collect your information when:

(a) you apply to join the UK Artist Community via https://uk.wegotpop.com/apply and the US Artist Community via https://us.wegotpop.com/apply.
- (i) Please note, when you start an application, but do not manage to finalise it, we will store your details for 90 days, to make it convenient for you to come back to finish the form. If you do not manage to finalise your application for a Profile within those 90 days, we will delete your application data and you will have to start the application process again.

(b) you access and browse our Site https://www.wegotpop.com (including when you submit your information to us through data entry fields on the Site).

(c) you give us personal information about yourself by using the online forms provided on our Site or on our app, or by contacting us via the platform or by phone, email or other means. This includes, for example, where you provide your personal information to us in order to receive information or services from us.

Where “you” are a Crew Member

2.2 We will collect your information when:

(a) prior to 1st June 2021 you applied to join the Crew Community via https://crew.wegotpop.com/apply.

(b) you provide personal information about yourself to a Production Company where you are entitled to access that information once the Project ceases.

(c) you access and browse our Site https://www.wegotpop.com (including when you submit your information to us through data entry fields on the Site).

(d) you give us personal information about yourself by using the online forms provided on our Site or on our app, or by contacting us via the platform or by phone, email or other means. This includes, for example, where you provide your personal information to us in order to receive information or services from us.

Where “you” are an Agent/Agency

(a) you enter a contractual agreement to use the Platform.

Where “you” are a Hirer or Production Company

(a) you enter a contractual agreement to use the Platform.

(b) when an Agent or Agency provides you log-in access to the Platform as a Hirer.

(c) you give us personal information about yourself via the platform or by phone, email or other means. This includes, for example, where you provide your personal information to us in order to receive information or services from us.

Where “you” are a Production User

2.5 We will collect your information when:

(a) a Hirer or Production Company provides you log-in access to the Platform.

(b) when an Agent or Agency provides you log-in access to the Platform.

(c) you give us personal information about yourself via the platform or by phone, email or other means. This includes, for example, where you provide your personal information to us in order to receive information or services from us.

EP Identity

2.6 EP capture the Identifier Information for each user of EP
- If a user (including a user who is either an Agency Artist, Production Artist and/or Production Crew) opts to have a Profile, EP can use the Identifier Information to link all of an individual user’s Profiles to that Profile. Linking all of a users’ activity across the platform on different productions and in different roles, will ensure a singular and positive experience for users of the platform (this service being known as “POP Identity”). Accessing your linked Profiles and activity across the platform will only happen if you opt into having a Profile. If you do not choose to have a Profile, you will continue to log into the different Production and / or Agency Sites you are signed up to. For the limited purposes of the information processed to enable the POP Identity service, EP will be a controller of your data.
3. Collection of your personal information and how we use it
Please go to the section or sections below that best describes our relationship with you to find out the information that we collect about you and how we use this information. We refer to this as “personal information” throughout this policy.

3.1 Entertainment Partners Artist

What personal information we collect about you where “you” are an Entertainment Partners Artist

(a) Information collected when you register your information via the application on the Site to join the Entertainment Partners Casting Community.

We will collect the following personal information in order to complete an application online:
- (i) your name
- (ii) your email address
- (iii) your telephone number
- (iv) your date of birth
- (v) your gender
- (vi) your nationality
- (vii) your photograph
- (viii) your county location

We will collect the following personal information in order to be visible to Agents, Agencies and Hirers sourcing for and offering work to the Entertainment Partners Casting Community:
- (ix) your measurements i.e. height, waist, chest, dress size etc.

(b) Optional additional details (you do not have to provide the following additional information on your profile; however, profile information helps you to get more from our Services, including helping Agents, Agencies and Hirers and job opportunities find you. It’s your choice to include sensitive information on your profile and to make that sensitive information available to Agents, Agencies, Hirers and Production Companies. Please do not post or add personal data to your profile that you would not want to be available.)
- (i) right to work documentation (these will be required to be booked on a project and in order to receive payment)
- (ii) your bank details (this is optional, but once you are booked on a project you will be required to submit them in order to receive payment)
- (iii) CV
- (iv) detailed information about additional skills and talents (e.g. plays trombone etc.)
- (v) detailed information about your appearance
- (vi) whether willing to appear nude
- (vii) your vehicle registration number
- (viii) disclosure and barring checks (in relation to any criminal records) (this is collected as it is required by some Hirers)
- (ix) disability information

(c) Other data collection

In addition to the initial stage data we collect, we will collect and hold the following personal information:
- (i) information related to your availability
- (ii) any updates to information provided to us
- (iii) any messages sent to you via the platform, including attachments and your responses
- (iv) information related to your activity on the platform
- (v) any mail communications, including attachments, which you send to us
- (vi) information provided when you correspond with us

(d) How we use your personal information

We will collect, use and store the personal information listed above for the following reasons:
- (i) enabling you to advertise your availability as an Entertainment Partners Artist and to communicate with Agents, Agencies or Hirers to arrange the delivery of your services to one or more Agents or Agencies
- (ii) allowing Agents or Agencies (being potential engagers of your services) or Hirers to view your profile to contact you to discuss suitable opportunities
- (iii) maintaining a record of your profile information and website use history, so that Agents or Agencies or Hirers who are seeking someone with your attributes and/or skill set can easily find you
- (iv) conducting profiling and business development activities, as well as market research and statistical analysis regarding activity via our platform
- (v) maintaining your profile information
- (vi) complying with any legal or regulatory requirements and to make the necessary disclosure under the requirements of any applicable law, regulation, direction, court order, guideline, circular or code which are applicable to us for the prevention of crime
- (vii) to allow you to access and use our Site
- (viii) to provide technical support to you and other users
- (ix) to provide you with the information you request from us
- (x) to store information about your preferences, and so allow us to customise our website according to your individual interests
- (xi) to recognise you when you return to our Site

(e) Where you use our Site to arrange Artist work we will store and use your personal information for the purposes of processing payment to you (as payment agent for the Agent and Agency) in respect of services you have performed for a Hirer via an Agent or Agency.

(f) When you create your profile via the Entertainment Partners Casting Portal your information will be visible to all Agents and Agencies who have entered a contractual agreement to use the Platform.

(g) Special categories of data. Some of the personal information that we collect about you or which you provide to us may be special category of data. Special categories of data include information about physical and mental health, sexual orientation, racial or ethnic origin, political opinions, philosophical belief, trade union membership and biometric data. An example of special category data would be an Artist’s ethnic origin (Projects are often set in one location and shot in another so for authenticity, production want to hire artists who are or look like they are from the location that the Project is set).

(h) Disclosure and Barring Services (“DBS”) certificate. Personal information we collect about you in relation to criminal convictions and offences (usually in the form of a DBS certificate) will be requested when requested by Agents, Agencies, Hirers or Production Companies. You may choose to upload these to your profile at any point, so that Projects that require Artists to have DBS certificates can find you on their first search for suitable candidates.

(g) Referees and emergency contacts. The personal information we collect about you where “you” are a referee or emergency contact. We collect basic contact details (such as name, title, address, email and telephone number) so that a Production Company or Production User can contact you for a reference or as an emergency contact for one of the Crew.

3.3 Agent and Agency

(a) We will collect and use any of the following information about Agents/Agencies:
- (i) your name
- (ii) the names of your employees or anyone working for your business who needs access to the platform
- (iii) work contact information (phone number, postal address, mailing address, email address)
- (iv) Company details, e.g. registration number
- (v) Bank account details
- (vi) your job title
- (vii) any opinion or feedback you share with us regarding an Artist, Hirer, Production Company, Production User
- (viii) details of any queries you raise with us regarding our platform
- (ix) details of any requirements you share with us
- (x) artist community data
- (xi) any additional information you provide us

The only other fields that you cannot edit directly on a casting Profile are measurements and photos, as this is important to casting, and we do not want inaccuracies, please contact ukartistsupport@ep.com for further information in this regard.

(c) Right to delete your information. You may have a right to ask us to delete any personal information which we are holding about you in certain specific circumstances. You can ask us for further information on these specific circumstances by contacting us using the details in section 13.
